Position Summary

The Cashier and Operation Support will be responsible for managing, delivering and maintaining a high standard of day-to-day operations support activities of Roots Ethiopia’s programs, finance and administrative services working in collaboration with the project team. S/he is responsible to handle routine office support services including financial management,  programs support, etc.

Specific Roles and Responsibilities

The Operations Support Assistant will:

·         Provide secretarial and administrative support in relation with financial management for the RE Ethiopia staff;

·         Take and maintain filing of financial meeting minutes with partners and staff members;

·         Registers and records references and protocols number on the appropriate logbooks for the financial outgoing letters;

·         Create and maintain an efficient filing system for financial documents ensuring an effective storage and retrieval procedure;

·         Liaise with projects and departments to acquire and disseminate information as required and also verity the relevancy and accuracy of documents to be archived;

·         Facilitate collection and gathering of donor audit file for program;

·         Maintains appropriate financial records;

·         Assist in updating Roots Ethiopia’s’ fixed asset recording and conduct year-end inventory

·         Communicate effectively with all program staff within areas of responsibility;

·         Support staff in dealing with administrative tasks related to the operation;

·         Schedule meetings, and represent staff during meetings where appropriate;

·         Attend all mandatory training as requested by the HR and Operations Manager;

·         Promote good working relationships and team spirit with all staff;

·         Maintain a conducive work environment encouraging staff to learn from each other;

·         Report any issues at work that may put the health, safety and security at risk to the service manager or a duty manager;

·         Collect data and information on Roots Ethiopia services when appropriate;

·         Handles petty cash fund;

·         Input accounting entries in the computerized application package;

·         Prepares and maintains disbursement records including checks, bank transfers, etc.;

·         Report incidents or accidents to a line manager, and assist in any investigation;

·         Perform other duties as assigned;

 

Job Requirements

Position Requirements

The position holder should:

·         Have at least College Degree in Finance and/or Accounting, Business Administration and Office Management or other related disciplines

·         Has 4/3 years of relevant work experience for diploma and degree holders respectively

·         Has excellent MS Office application skills including MS-Word, MS-Excel, MS-Access, MS-Power point, etc.

·         Proficiency in English and Amharic languages is desired

·         Has excellent coordination and time management skills

·         Be a good team player
