The non-profit media development organization International Media Support (IMS) is in close cooperation with Fojo Media Institute and other international partners implementing programs to support media reform and assist in the professionalization of journalism and media management in Ethiopia. We are working closely with Ethiopian institutions and media partners. An office in Addis Ababa is soon established, and the Finance & Admin. Officer will be part of the team initiating and implementing the programs.

Main Responsibilities

The Finance and Admin Officer will be responsible for ensuring the program’s office financial management systems comply with program financial procedures; the fiduciary risk is minimized and that value for money is attained as much as possible. The Officer will secure correct administrative procedures and collaborate closely with the local and international management, as well as relevant HQ staff. As an integral part of this effort, the Finance Officer will collaborate in building the capacity of local partner organizations.

Scope of Work and Main Tasks

 The Finance Officer’s main tasks will include:

  • Establish proper financial management systems that can provide accurate, current, and complete disclosure of financial transactions. Responsible for documentation of source documents and application of funds following generally accepted accounting principles
  • Establish and maintain financial accounts, including bookkeeping, for the office.
  • Elaborate monthly financial statements incl. bank and petty cash reconciliation for submission to HQ.
  • Elaborate budgets and cash flow forecasts for the office and local partners in collaboration with the Program Manager, and prepare disbursement requests.
  • Ensure timely payment of suppliers and service providers subject to appropriate documentation.
  • Ensure compliance with relevant procurement instructions and ensure documentation of relevant procurement processes.
  • Maintain office filing system to ensure the availability and filing of documentation for compliance with relevant financial procedures and standards.
  • Provide training and other support to program partners in Ethiopia related to budgeting, accounting/bookkeeping, and general administration, as well as procurement and financial reporting adhering to the organization and its back donor standards and formats.
  • Ensures the communication of finance policies and procedures within the organization, and with other stakeholders, and ensures adherence to organizational policies, procedures, and guidelines.
  • Scrutinize and quality assures financial reports and supporting documentation submitted by local partners in Ethiopia. Make recommendations to HQ on compliance and quality of financial reporting.
  • Contribute to various daily tasks related to daily office operations and any other duties that are deemed relevant by the Program Manager, including attending required events and activities, and supporting the Management when required in the local context.
  • Ensures the timely and accurate reporting to respective authorities on taxes and other obligations

Duration and location

  • This is a full-time position for 1 year with a probation period of 3 months, and with the possibility of extension.
  • Salary will be commensurate with experience and IMS policies.
  • Starting date: As soon as possible.

Qualifications & Experience

  •  At least a Bachelor of accounts degree, ACCA or related/equivalent qualifications
  •  At least 5 years working in a similar capacity
  • Traceable experience working in an international and non-profit organization
