ROLE PURPOSE:

The Ethiopia Country Office (EtCO) operates the Individual Sponsorship, Lifeline Sponsorship and Program Sponsorship with an annual budget of approximately between 2 million and 2.6 million USD. The Head of Sponsorship is responsible for overseeing the sponsorship operations, programs and proper use of sponsorship funds. Within his/her capacity the Head of Sponsorship will work closely with the Deputy Country Director for PDQ, CO PDQ Technical and Program Operations team, Global Sponsorship Operations, Global Program Quality and Impact team and Sponsorship Technical Working Group to meet all sponsorship-related objectives and deliverables. The Head of Sponsorship ensures that sponsorship resources are focused on reaching strategic objectives, retaining sponsors, meeting sponsor expectations and adhering to all internal and external standards. He/she is responsible to lead Sponsorship Annual Plan [SAP], Sponsorship Annual Report [SAP], Annual Sponsorship Self-assessments and collaborate with Global Sponsorship on Sponsorship Reviews.

He/she provides support in Sponsorship P&P compliance, operational, communication and administrative across Sponsorship activities. He/she ensures that sponsorship operations adhere to the Sponsorship Policies and Procedures and SCI regulations. S/he is responsible in proactively monitoring system and processes to provide corrective measures. He/she focuses on providing oversight of sponsorship communication product delivery, project financial performance, and tracking spending. Also develop risk management strategies to monitor non-compliance and reports with regulatory bodies.

KEY AREAS OF ACCOUNTABILITY:

Ensure and Collaborate in Cross-functionality to set and achieve strategic objectives focused on improving children’s lives;

  • Collaborates with the DCD-PDQ to prepare all the required documentations including Country Annual Plan, operational plan (POP) and reports.
  • Ensures that CO’s sponsorship program has and led by a clear strategic vision, mission and objectives congruent with overall Country Strategy Plan of the Country Office.
  • Ensures that the CO’s sponsorship programs are designed and managed through the application of Save the Children’s programming principles and project management approaches, systems and tools.
  • Work with sponsorship Impact Areas [Field Offices] to ensure that Country Office (CO) strategic plans support agency strategic priorities.
  • Leads annual self-assessment of sponsorship program of the CO according to agency guidelines.
  • Coordinates sponsorship reviews in collaboration with Global Sponsorship Operations and MEAL of the CO
  • Creates Action Plan based on the self-assessment /review and track each item through to closure and report progress on quarterly base.

Ensure High Quality Programming

  • Ensures that sponsorship related objectives in the areas of program, budget, operations and sponsor retention are reviewed at least quarterly.
  • Ensures the introduction and roll out of SCI’s program quality measures (SCI programming principles, gender equality measures, tracking/monitoring and continually improving technical quality using Quality Bench Marks, accountability and complaint response mechanisms) in all the sponsorship programs of the CO.
  • Ensure that sponsorship funded programs (including, but not limited to Basic Education, ECD, SHN and AD) reflect the best use of SCI’s Common Approach to sponsorship funded programming (CASP)
  • Ensure that sponsorship programming adheres to the program cycle for all CASP modules and documentation is fully completed.
  • Ensures that lessons, best practices and evidences of changes are periodically gathered, synthesized and shared internally for improving program practice/quality and externally for driving SCI’s advocacy agendas through the application of CO’s evaluation, evidence and learning guidelines.
  • Ensure Sponsorship Programming is in line with the Global Sponsorship Theory of Change and SCI Theory of Changes.
  • Ensure Sponsorship Programming is in line with Country Strategic Plan [CSP] and actively engage in CSP preparation, review and reporting.
  • Lead preparation and submission of Sponsorship Annual Plans and Report.
  • Provide guidance and support on program quality, cost effectiveness and integration to technical unit heads.
  • Enhance resource mobilization through seeking partnership with donors in close coordination with thematic units.
  • Ensure appropriate phase over plans are developed and presented to the CO leadership for discussion and endorsement.

Oversee Operations and ensure Compliance with Internal and External Standards

  • Monitors the sponsor termination rate monthly and take appropriate actions to ensure that the rate is minimized and Meet the CO annual termination rate target.
  • Ensures that systems are in place to monitor child eligibility and participation in sponsorship-funded programs.  When standards are not being met, take proper and timely action based on agency policies and procedures.
  • Works with program teams and partners to collect success stories, photos and program results.  Submit stories and seasonal communication materials according to guidelines or mail these to sponsors on or before deadlines.
  • Ensures that all other forms of correspondence are of high quality and mailed on time including Welcome Letters, 30 Day Letters, responses to sponsor mail, email and inquiries through Donor Services.
  • Coordinates with appropriate field offices staff all sponsor/donor visits.
  • Report the death or ineligibility of any enrolled child within established timeframes.
  • Ensure that community members and parents of sponsored children have a firm understanding of sponsorship and SC through sponsorship orientation session(s).
  • Collaborate with SC various units to ensure key stakeholders, including communities have good understanding of the SC child safeguarding policy and adhere to its content.
  •  Lead quality improvement efforts to ensure that key areas for improvement are identified each year and progress toward improvement is tracked.

Budget Management  

  • Lead budget planning, phasing and re-phasing of all sponsorship programs.
  • Review budget vs actual expenditure of annual budget for school based program activities.
  • Manage proper budget coding and monitor coding errors.
  • Ensure the sponsorship field offices utilize budget properly within time as per their plan to avoid under and over spending.

Communication Management

  • Oversee communications to and from sponsors are handled in a manner that adheres to the Sponsorship Policy and Procedures Manual.
  • Review the quality of different case studies, success stories, requisition stories, retention stories, blog posts, photos and videos for submission to GSO, Sponsorship Marketing & Retention, donors and partners.
  • Supervise that daily and periodical sponsor communications work towards addressing the annual Sponsor Retention Initiative goals as per the Sponsorship Marketing Manual.
  • Supervise the daily and weekly sponsor to child correspondence as per the Sponsorship P&P
  • Oversee that the CO and field staff to ensure sponsorship funded programs meet CASP standard.
  • Oversee departmental documentation are available for sponsors, staff, donor and CO personnel.
  • Ensures that the selection of ICS, Lifeline/Child link children is according to the Sponsorship Policy and Procedures Manual.

Provide effective management of human resources

  • Provide the sponsorship staff with clear direction including Job Descriptions and Performance Objectives that relate to the Sponsorship Policies and Procedures Manual and achieving operational and strategic objectives
  • Provide sponsorship staff with opportunities for professional development
  • Plan and conduct orientation for new staff and ongoing training for all sponsorship staff
  • Conduct regular Field Office sponsorship staff meetings
  • All other duties and assignments as required by DCD and CD

Job Requirements

QUALIFICATIONS & EXPERIENCE

Academic Qualification

  • MA or MSC degree in the fields of Social Science, development management or education.

Work Experience

  • Minimum 10 years relevant experience holding senior project leadership/management positions  with considerable experience in Sponsorship management.

Special Training

  • Advanced knowledge of computer; knowledge of Individual Child Sponsorship business, quality report writing.

Other:

  • Strong strategic and analytical skills
  • Strong communication skills, with excellent written and spoken English
  • Proficient in the use of MS Office, Excel, Outlook, and other relevant software;
