General Description of Role:

The Logistics Officer based in Debre Birhan, will report to the Area Manager. S/he will provide logistics support for program and administrative activities in Debre Birhan.

Main Responsibilities:

  • Ensure compliance with Government of Ethiopia, donor’s and CVT’s requirements on procurement processes and documentation.
  • Ensure that Logistics manual is fully in place and responsible for its application
  • Keep record of project fixed assets, to monitor the equipment and ensure that equipment is properly used and prepare asset reports to Area Manager on monthly base or as requested.
  • Prepare a procurement plan, identify approved items, and facilitate purchases with the procurement committee.
  • Prepare procurement/purchase requests, obtain necessary authorization, and receive cash/advance for the authorized procurement.
  • Submit receipts and all relevant documentation to justify the spending.
  • Follow procurement and timely delivery, and report procurement status to the area manager.
  • Obtain bids, or conduct market search, and procure most appropriate goods/services given the cost and quality, with necessary authorization.
  • Supervise the work of service providers so as to ensure quality of work.
  • Coordinate with suppliers to ensure there is adequate and continuous supply of water, electricity, internet, etc. at Debre Birhan.
  • Maintain office premises and equipment in good order, and provide repair and maintenance as needed.
  • Follow the movement of vehicles and fuel purchase
  • Coordinate with the vehicle leasing company to ensure timely and efficient maintenance/repair of vehicles and availability of replacement vehicles during the time regular vehicles are under maintenance.
  • Make travel arrangements for staff and guests in Debre Birhan.
  • Supervise Operation assistant/Log assistant on issues related with Store management
  • Supervise driver/s
  • Schedule vehicle movement

Other duty:

  • Perform other duties as assigned by supervisor
  • Participate in other program and organization-wide activities, meetings and trainings. Complete assigned responsibilities.

Position:   Logistics officer

Duty Station:  Debre Birhan, Amhara, Ethiopia.

Required No: 1 (one)

Terms of Employment: Initial contract is from October 07, 2024 through May 31, 2025(60 business days of probationary period) and with a possibility of continuation thereafter depending on the funding availability.

About You

Qualifications:

  • Minimum 5 years of experience working in a similar setting for INGOs required.
  • BA in Logistics and supply chain management, business administration, supply and procurement or related fields
  • Knowledge of vehicle, generator, and office equipment maintenance; IT; fleet management; building construction; security management; and other related matters strongly preferred.

Competencies (Knowledge, Skills and Abilities)

  • Required: Computer literacy in Microsoft Office (Word, Excel, and Outlook).
  • Required: Fluency in English and Amharic is must.
  • Required: Demonstrated flexibility and adaptability to work in challenging areas, changing conditions, procedures and/or policies, and required tasks.
  • Required: Willing to learn and adapt
  • Required: Must be an excellent team player.
  • Required: Must have excellent communication, organizational, creative, supervision, and problem-solving skills.
  • Required: Must be a self-starter, flexible, adaptable, approachable, and ethical.
  • Required: Ability to work independently and as a team member.
  • Required: Excellent interpersonal, written and verbal communication skills and demonstrated ability to communicate effectively with individuals at all levels.
  • Required: Strong problem solving and organizational skills including effective time management and work load organization.
  • Required: Commitment to the ethical and sensitive implementation of project activities, including a commitment to confidentiality, diversity, equity, and inclusion, quality service provision, and the prevention of sexual exploitation, abuse, and harassment
  • Preferred: Experience working in Amhara Region, work experience in Debre Birhan is desirable
