Background of Kerchanshe Equipment

Kerchanshe Trading PLc is a fully independent Ethiopian coffee farming and exporting enterprise. It has decided to broaden its company and has recently signed a Trademark agreement with Caterpillar to officially represent and distribute the Caterpillar Brand in Ethiopia. It is the only Company in Ethiopia having such official distribution rights for Caterpillar Equipment.

The commercial name for this division, which is fully owned by Kechanshe Trading PLC, is Kerchanshe Equipment. Kerchanshe Equipment is in charge of distributing and supporting construction machinery, parts, power systems, and material-handling equipment across the country.

Job Outline

To Work in conjunction with sales departments for machine sales in order to ensure smooth adherence to efficient administration, transaction in terms of receipt and dispatch of the equipment.

To effectively manage the regional sales in conjunction with colleagues while reporting to the sales manager and maintaining company commercial standards and policies.

MAIN DUTIES AND RESPONSIBILITIES

  • To ensure that sales activities are efficiently covered in all administrative fronts
  • Produce machine price lists as directed by the Sales Manager in line with agreed company objectives.
  • Prepare machine quotations for sales teams if need arises in line with our standard specification and recommendation by the HOD and Product Managers.
  • Liaise with the Operations & Inventory Control Department in ordering Customer/Stock units in line with agreed company policies.
  • Work with CIC Dept to ensure quick delivery of equipment into stock from date of order.
  • Logistic control of all equipment from order to delivery so as to reduce multiple handling and cost escalation.
  • Co-ordinate equipment invoicing and sales record update.
  • Raise LPO requisition process in regard to equipment transportation after invoicing.
  • Processing of Order forms for approval by functional managers and MD/FD
  • Keep track of all orders and ensuring its effective processing through proper documentation and equipment positions.
  • Ordering of stock units with the accompanying paperwork administration.
  • Ensuring that proforma invoices, orders and the relevant forms are filed correctly and authorized by the manager.
  • Ensure IDFs, LCs, agreements, bank guarantees, bills etc. are properly filled in and securely stored as to be accessible to the relevant persons.
  • To follow up on equipment shipping process, clearing, transportation and monitoring of the same.
  • To ensure when receiving equipment that the condition, is good and any defects reported quickly to the insurance and all accessories are intact and in good working order.
  • To liaise with sales team in order to keep the appropriate data storage and ensure effective retrieval of the same
  • Necessary Documentation for and registration of the units
  • To ensure physical unit specs match with the proforma specifications.
  • 19.         Control of  units deliveries, ensuring proper documentation before release.                     “
  • Co-ordination with management for all third party sales in the territory.
  • Co-ordination with branches
  • Ensure maximum market share in the industry by assisting salesmen with data collection
  • Implementing pricing strategy on quotations.
  • Monthly report required by departmental heads – stocks, sales, quotations raised and inventory.
  • Departmental inventory control.
  • Attending to walk in customers. Get in contact with customers by phone or visiting own facility
  • Liaising with various departments for any respective needs.
  • Liaising with pricing and logistics departments (sales office)
  • Prepare activity and month – end reports for machine sales.
  • Filing and archiving of documents in a way that will ensure ease of individual  customer file retrieval
  • Any other duties that may be assigned from time to time by management

QUALIFICATIONS

•            Management or business degree from a recognized university

•            At least 3 years work experience in a busy sales administration office

•            Proficiency in a computerized environment with ability to use specialized ERP software

•            Demonstrate proficiency in use of computer especially Micro soft office applications
