Job Purpose

The purpose of this job is to coordinate, undertake and follow up procurement process; ensure the procurement of the right goods/services with the right price from the right place at the right time in line with the policy and procedure of the Association; ensures the procurement records are kept properly; serve as secretary to the Procurement Approving Committee when assigned; conduct periodic market surveys; produce periodic reports.

Duties and Responsibilities

  • Ensures purchase requests are adequately informative and complete on receipt, advises user organs for better understanding and planning of procurement needs, development of specification as per the policy and procedure of the Association.
  • Carries out procurements as per the approved budget, purchase requests, and procedures; invites potential suppliers to bid or collect price quotations from approved list of suppliers.
  • Prepares invitation to bids, develop bid documents for both open and restricted tendering procedures based on user organs’ specifications, and submits to procurement approving committee for ultimate approval.
  • Performs bid analysis, submit for approval and follow up the receiving process while inspecting the compliance of purchased items against the predefined specifications and/or samples before receiving.
  • Prepares purchase orders as per the recommendations of the purchase committee.
  • Handles all relevant correspondence and communications with suppliers.
  • Maintains up- to- date and complete list of suppliers with full address.
  • Maintain appropriate records of purchases and ensures that every purchase is executed based on competitive price and in accordance with the specification without jeopardizing quality.
  • Produce daily and periodic activity and progress report.
  • Perform other duties as per the instruction of the immediate supervisor.

  • BA in Management/ Procurement & Supply Management/ Marketing/Accounting or related with 4 years of relevant experience.
