Job Description

Currently the organization is operating integrated community development interventions in gender equality, Governance, Women Empowerment, Girls Education and Sexual and Reproductive Health in SNNPRS, Sidama and Oromia Regions.
Major Duties
- Provide administrative support to Executive Directress (ExD) & systematically organize her office along with scheduling of travel,meetings and appointments as required.
- Prepare agendas and schedules for meetings, conferences, and other assigned events; hold and distributes minutes or other notes as requested;
- Manage filing system of incoming/outgoing letters, project documents, major contracts and partners’ information ( in hard/soft copies,as relevant)
- Responds to and resolves human resource related administration inquiries and assist the office with documentation
- Welcomes and direct visitors and clients.
- Systematically, develop an internal follow-up sheet of major administrative activities in relation to transport and logistitical arrangements
- Manage petty cash to ensure that cash is available on hand for payments that would not require the issuance of check, prepares petty cash report for timely replenishment.
- Handle store keeping coordination; inspect and receive purchased or donated materials by issuing goods receiving note (GRN) checking the quality and quantity of the goods along with storage safety
- Ensure office supplies availability and replenishment as required
- Produce and distribute correspondence memos, letters, faxes, and forms
- Perform other duties assigned by immediate supervisor.
- Update ExD in administrative and other organizational business.
- Maintain organizational confidentiality with utmost integrity
Place of work: Addis Ababa & Terms of contract: One year extension based on avilanlity of funding and performance.
Job Requirements
Required Qualifications and Experience
- BA in Secretarial Science & Office Management & 4 years of relevant experience; working in NGO environment preferred.
