Background
The Global Alliance for Improved Nutrition (GAIN) is a Swiss-based foundation launched at the UN in 2002 to tackle the human suffering caused by malnutrition. Working with both governments and businesses, we aim to transform food systems so that they deliver more nutritious food for all people. In particular, we aim to make healthier food choices more
desirable, more available, and more affordable. GAIN’s mission is to advance nutrition
outcomes by improving consumption of nutritious and safe food for all people, especially the most vulnerable to malnutrition.
Objective
GAIN Ethiopia would like to hire individual who can be able to work as a full time short term service provider to fill the gaps in the operation team and deliver required seasonal procurement and logistic activities expected during the current peak period. The specific objectives are:
➢ To support the procurement, logistic and administrative associate in overall procurement and logistic activities
➢ To assist the operation department in organizing and facilitating procurement of goods and services and support in proper filing of procurement, financial and administrative documents
Scope of Work
The individual service provider will be expected to work full-time for the duration of three months as per GAIN’s working hours and will have the following responsibilities:
• Gather and submit the necessary procurement documentation for evaluation and award to the appropriate procurement bid committee.
• Assist in maintaining files and records for all procurement processes, purchase requisitions, procurement evaluations, tenders, Purchase orders, Award letters, contracts, and all correspondences relating to the procurement.
• Submit procurement documents, contract and supplier invoices for payment processing.
• Support in collecting proforma invoices and conducting price comparison sheet.
• Support in follow up all procurement of goods and services processed through GAIN Purchase Order (PO) system.
• Assist in maintaining inventory and records for assets, office supplies and the country office store management.
• Support in the bids Evaluations/ analysis for all purchases of goods and services)
• Follow up timely payments to suppliers or service providers.
• Support in timely and safe delivery of items/ goods to the warehouse with proper documentation and coordinate with the storekeeper/office assistant and transfer of items.
• Support in keeping records of supplier/service providers database and maintain files of current market prices for commonly purchased items.
• Assist in carrying out price surveys and maintain price list for routinely purchased items from preferred vendors and ensure prices charged by the suppliers are the market prices.
• Assist in filing and scanning Procurement, Financial and Administration documents.
• It will be expected to perform other additional administrative, finance, procurement and logistical assistance as required.

About You

Qualification

Bachelor’s degree in Procurement and Supply chain Management or other related Business field of study

Knowledge and Competencies
• Knowledge of, and ability to apply financial rules, regulations and procedures.
• Excellent troubleshooting and communications skill.
• Strong attention to details.
• Ability to work independently and resourceful finding solutions to complex problems.
• Good working computer knowledge with proficiency in basic office software specially MS Office Excel and Word.
• Committed, willingness to take initiative and willing to work under pressure.
• Ability to work cooperatively with staff
• Good organizational skills
• Good in spoken and written English
• Be honest, ethical and dedicated.
