Job Overview: The Senior Tender Specialist is responsible for leading the preparation, coordination, and submission of tenders, ensuring compliance with client requirements and contributing to the company’s growth and success. The role requires strong project management, analytical, technical and communication skills, as well as in-depth knowledge of the tendering process, products and solutions, and industry best practices.

Responsibilities and Duties:

  1. Identify and qualify tender opportunities:
  • Regularly monitor relevant online platforms, government portals, and industry-specific sources for new tender opportunities.
  • Assess each tender opportunity for alignment with the company’s capabilities and strategic goals, and verify the company’s eligibility to participate.

 2. Analyze tender requirements and coordinate information gathering:

  • Thoroughly review tender documents to understand the requirements, scope, evaluation criteria, and submission deadlines.
  • Coordinate with other departments to gather required information, such as technical specifications, pricing, and legal requirements.

3. Develop and manage project timelines:

  • Create and maintain detailed project timelines for each tender, ensuring all tasks are assigned and deadlines are met.
  • Communicate project timelines to relevant stakeholders and provide regular updates on progress.

  4. Bid proposal preparation:

  • Develop a proposal outline based on the tender requirements and evaluation criteria.
  • Work on or Assign proposal sections to appropriate team members and provide guidance and support throughout the writing process.
  • Review and edit proposal sections to ensure consistency, accuracy, and adherence to established templates and guidelines.

5. Coordinate technical input and support:

  • Collaborate with the technical team to integrate technical information and solutions into the proposal, ensuring compliance with tender requirements.
  • Liaise with suppliers and manufacturers to obtain necessary technical documentation and support.

     6. Conduct internal proposal reviews and manage revisions:

  • Organize and facilitate internal proposal review meetings to ensure accuracy, completeness, and compliance with tender requirements.
  • Incorporate necessary revisions based on internal review feedback and obtain final approvals from relevant stakeholders.

     7. Manage proposal submission and post-submission activities:

  • Submit the final proposal to the client before the submission deadline, ensuring all submission guidelines are followed.
  • Track the tender evaluation process, maintain communication with the client, and address any additional requests or clarifications.
  • Inform the team and relevant stakeholders of the tender outcome and organize debrief sessions to identify areas for improvement.

   8. Maintain tender documentation and records:

  • Ensure all tender-related documentation is organized, up-to-date, and stored securely in the company’s document management system.

  9. Contribute to the continuous improvement of tender processes:

  • Identify and implement best practices and process improvements to enhance the efficiency and effectiveness of the tender sales department.

      10. Mentor and support junior team members:

  • Provide guidance, support, and training to junior tender specialists and other team members, fostering a collaborative and supportive work environment.

About You

Qualifications and Skills:

  • Bachelor’s degree in Business, Marketing, Technology or a related field.
  • At least 4 years of experience in tender management, proposal writing, or a similar role, preferably in the IT or office machines industry.
  • Strong project management, organization, and time management skills.
  • Excellent analytical, problem-solving, and decision-making abilities.
  • Exceptional communication and interpersonal skills, with the ability to work effectively with cross-functional teams.
  • Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Familiarity with tender management software or platforms is a plus.
  • Ability to work under pressure and meet tight deadlines.
