Position Title : Foreign purchase officer

Division : Supply Chain Department

Reporting to : Supply Chain Manager

Job Summary/Main Purpose:

Foreign purchase officer is Responsible to prepare annual budgets and work programs of foreign purchasing and store activities; review performance and submit reports for the activities of the department

Main Responsibilities:

Under the guidance of the Supply Chain Manager, Foreign purchase officer shall carry out the following duties:

  • Establish a clear procurement plan ensuring that requests are managed effectively.
  • Ensure all procurement requests are completed correctly and the duties of collecting quotations is done accordingly.
  • Oversee the procurement analysis of all supplies/services ensuring detailed procedure and selection process is clearly outlined within the analysis section.
  • Manage the delivery of goods/services
  • Ensure all procurement follows the organizational procurement procedures and all orders are made correctly with the right authorization
  • Ensure clear documentation for supplier selection is obtained for auditing purposes.
  • Ensure and maintain an effective and timely order management and acknowledgement system.
  • Ensure all processes in the warehouse and Standard Operating Procedures are followed at all times
  • Directs the entire process of purchasing including the preparation, tabulation and analysis of bids for all commodities needed for the operations of the factory.
  • Supervises the receipt, storage, issues, delivery and control of raw materials, spare parts and other supplies used for factory operations.
  • Ensures the maintenance of records of economic order quantities and oversees the preparation and updating of procurement schedules for supplies regularly demanded by the company’s.
  • Supervises the maintenance of inventory control records; develops and enforces efficient supply management procedures, techniques and forms.
  • Organizes and coordinates the physical inventory count of all warehouse items; makes sure that warehouse inventory balances are reconciled with those of the general accounting record.
  • Perform all additional manufacturing works as instructed by the Supply Chain manager.
About You

Job Requirements (Education and work experience):

  • BA Degree in Management, Accounting, Business Administration, Supply Chain & Logistics Management & other related business field and 2 years of related work experience.

Skills required:

  • Basic knowledge of Material management
  • Good communication skills
  • Leadership and interpersonal skills
  • Problem solving and organizing skills
  • Good command of English
