About the Job

POSITION SUMMARY

  • The receptionist is to manage the guest reception and lobby area management of the company, including telephone operator services.
  • The receptionist is also expected to perform board meeting rooms (conference rooms) support-related services.
  • The Receptionist is expected to adhere to the systems, policies, and procedures of all support service activities and executive secretaries.

DUTIES AND RESPONSIBILITIES

Office Coordination

  • Maintains reception / lobby area cleanliness and security by coordinating the incoming and outgoing guest.,
  • facilitate meetings and conference rooms when requested.
  • Organize proper documentation of incoming and outgoing documents – letters, envelopes, and other messages when required.
  • Coordination of the communication and message handover and delivery by the head office, branch office, and guests.
  • Perform secretarial support services, including email communication (at times requested).
  • Safeguards the company’s working properties inside the reception / lobby area.
  • Supervise the cleanliness and organization of the lobby and supervise the office refreshment service of the conference room (i.e, supply of water/tea/coffee)

Reception

  • Welcomes visitors, provides them with information, and directs them to the appropriate staff member.
  • Maintains visitors’ logbook – recording all relevant information and distributing visitors’ badges. (when required and requested)

Switchboard

  • Answers and redirects incoming calls and answers callers’ questions.
  • Take messages and transmit telephone messages to the concerned.
  • Ensures lines are functioning properly at all lines, coordinates with the IT team when problems occur.

Additional Duties

  • Perform other duties as required.
About You
  • 1st Degree in Social Science Fields or Diploma in Office Management, Secretarial Science, or Other related fields from a recognized college, plus Telephone Operator Training Certificate is advantageous.
  • 1 Year Experience for Degree Holder or 3 Years Experience for Diploma Holder
  • A candidate should have a good command of English
  • Good customer handling, basic Computer Knowledge
  • Presentable physical appearance
