Job Title: Secretary and Receptionist
Reports to: Human Resource and Coal Marketing and Distribution Manager
Department/Service: Finance & Accounting
Main Responsibilities
Under the direction and supervision of Human Resource and Coal Marketing and Distribution Manager perform administrative tasks, handle Communications and organize office operations, scheduling appointments, managing files, answering phones and preparing documents as well as assisting with basic bookkeeping and handling mail. Also, as the first point of contact for visitors, greeting them, answering questions, and guiding them as needed.
Responsibilities and Authorities:
- Welcoming guests, signing them in, and directing them to the appropriate person or department;
- Answering incoming calls, directing them to the appropriate person or department, and taking messages;
- Maintaining a clean and organized reception area, managing office supplies, and handling incoming and outgoing mail;
- Answering questions about company policies, procedures, and services.
- Booking and confirming meetings and appointments;
- Assisting with other administrative tasks as needed, such as filing, data entry, and photocopying;
- Providing administrative support such as scheduling meetings, managing calendars, and making travel arrangements;
- Handling incoming and outgoing mail, emails, and faxes;
- Taking minutes of meetings, distributing meeting notes and organizing and filing documents;
- Assisting with other office tasks as needed, such as ordering supplies and maintaining equipment.
Place of Assignment: Addis Ababa
Salary: Negotiable
Minimum Requirement
- First Degree for recognized university in Secretarial Science and Office Management or Administrative Management with one-year relevant experience.
Competencies Key Skills:
- Excellent communication and interpersonal skills;
- Strong organizational and time management skills;
- Proficiency in Microsoft Office Suite or other relevant software;
- Attention to detail;
- Professionalism and a positive attitude;
- Ability to work independently and as part of a team.
