Hope enterprises is a local Civil society organization which was stablished in 1971. As a pioneering national NGO, it has been serving the needy through transformational investment operating Seven branches and area projects in different regions and a university college in Addis Ababa City administration. HOPE involved in holistic human development with concrete interventions by ways of basic care, education, vocational training, job and business mediation and values development. The organization is currently seeking a qualified candidate for the following position.

  1. Job Summary

The Assistant Executive Director will collaborate closely with the Executive Director to ensure the overall success of the organization. This role involves over seeing various operational facets, providing strategic support, and managing staff to achieve organizational objectives.

II. Duties and Responsibilities:

2.1. Operational Oversight:

  • Oversee day-to-day operations of the organization’s branches, ensuring smooth and efficient execution, and compliance with established procedures.
  • Implement and monitor key performance of projects, branches to track and measure the success of operational objectives.
  • Evaluate and enhance operational processes to optimize workflow and resource utilization.
  • Coordinate cross-functional teams to address operational challenges and foster a cohesive working environment.
  • Coordinate with department heads to address operational challenges and implement solutions.
  • Foster a culture of continuous improvement within the Operations Wing.
  • Ensure compliance with relevant regulations and industry standards.
  • Implement and oversee quality control measures to maintain high standards in service delivery.
  • Conduct regular audits to assess compliance with operational policies and identify areas for improvement.

2.2. Grant Management and Fundraising:

  • Work closely with the fundraising team to identify and pursue funding opportunities for programs and projects.2.2.2. Manage grants, ensuring compliance with donor requirements and timely reporting.
  • With the consultation of the executive Build and maintain relationships with donors, partners, and other stakeholders to secure ongoing support.2.2.4.
  • Collaborate with the Executive Director, program team, and business development team in developing fundraising strategies and campaigns.

2.3. Community Engagement and Advocacy

  • With the consultation of executive director Represent the NGO in community forums, conferences, and collaborative initiatives.
  • Ensure the development and maintains positive relationships with local communities, government agencies, and other NGOs at branch and project level
  • With cop ration of other departments, Advocate for the organization mission and actively participate in discussions on relevant social issues.

2.4. Strategic Support

  • Collaborate with the Executive Director in developing and executing strategic issues and plan aligned with organization’s mission and vision.
  • With the consultation of the executive director Conduct research and provide insights for strategic decision-making.
  • Participate in the formulation and implementation of policies and initiatives to drive organizational growth.
  • Assess market trends and competitive landscape to identify Strategic opportunities and potential risks.
  • With the consultation of executive Represent the organization meetings, conferences, and other forums to build strategic partnerships and alliances.
  • Conduct regular assessments of operational processes, identifying opportunities for \ improvement and efficiency.
  • Involve in development of operational procedures to enhance the operational capabilities of the organization.
  • Ensure that operational strategies support the organization’s mission and contribute to its growth
  • Contribute the development and implementation of the NGO’s strategic plan.
  • Assess organizational strengths and weaknesses, proposing strategies for improvement.
  • Work with the Executive Director to adapt to changing circumstances and emerging opportunities.
  • Participate in organizational capacity-building activities to enhance effectiveness.

2.5. Communication and Reporting:

  • Ensure timely and accurate reporting to the Executive Director, and partners organizations
  • Facilitate transparent and open communication across different departments and branches.
  • Actively involve with communication team in development and implement communication strategies to enhance the organization’s visibility and reputation.
  • Ensure the submission of annual reports, quarterly reports, biannual reports, and reports request based on the need with expected standard Be proactive in supporting the Executive Director by ensuring the submission of quarterly, annual, biannual, and irregular reports from branches, projects, and departments.
  • Provide assistance to the Executive Director in report writing, minute preparation, and representation activities.
  • Collaborate with teams to be sure that reports meet the expected standards and convey organizational achievements effectively.

2.6. Resource Management:

  • Ensure the allocated resources efficiently and effectively uses for the target activities, beneficiaries, as of intended plan.
  • Work closely with relevant departments, branches, area projects, and other concerned bodies to optimize resource utilization and minimize waste.
  • Monitor budgetary adherence within the Operations, branches,
  • Area projects, and special projects, and provide regular reports to the Executive Director.
  • Identify opportunities for cost savings and process optimization to maximize organizational resources.

2.7. Staff Management and Development: *

  • Lead, mentor, and manage staff order the position, fostering a culture of collaboration, diversity, and inclusion.
  • Conduct performance evaluations, set goals, and provide professional development opportunities.
  • Ensure effective communication and coordination among different teams and departments.
  • Address personnel issues promptly and in accordance with organizational policies.
  • Foster a collaborative and results-oriented work environment for branches and branches personnel
  • Oversee program managers and teams, ensuring the successful execution of projects and initiatives.
  • Monitor program impact and assess outcomes to enhance effectiveness and sustainability.
  • Contribute to the development of new initiatives that align with the NGO’s strategic goals.

2.8. Financial Management

  • Collaborate with the finance team to oversee budgets, financial reports, and fiscal responsibility.
  • Ensure transparent and accountable financial practices in line with donor requirements.
  • Monitor expenditures, identify cost-saving opportunities, and optimize resource allocation.
  • Actively involve in the development of operation plans and budgets and financial planning of branches and projects
  • Analyze financial data to identify areas for cost savings and efficiency improvements and submit proposal for executive director
  • Collaborate in the development of annual budgets and long-term financial plans.
  • Ensure compliance with financial regulations and reporting requirements.
  • With the cop ration of finance manager Provide strategic financial recommendations to the Executive Director and contribute to decision making processes.

2.9. Logistics and Supply Chain Management:

  • With collaboration Human Resources administration department, finance department, and logistic team Oversee logistics and supply chain functions, ensuring timely and cost-effective delivery of goods and services for different branches, projects, and head office
  • Collaborate with different team in head office and actively involve

in facilitation of contracts agreements, purchase, and logistics

About You

Job Requirements

Academic Qualification

  • Minimum Bachelor Degrees or Masters Degree in Management, Business Administration, Social work, Sociologist, Economics, Development studies, or in other relevant field of study

Work Experience

  • A minimum of 11 years of related experience in national /international NGO after graduation of BA degree 11 years, for Master’s degree years of related Experience in national CS Can international NGO. Of which 2 years of experience should be on managerial  role  at National or International NGO.

Special Training

Special training on project management, operation management, resource management, Administration, strategic planning, leae Change and transformation, property management, HR, procurlegislation in areas of employment, IT/operations management.

Other Requirements Good Interpersonal skills,

Practical experience in developing as well as working with operational policies, procedures and systems, Good knowledge of local and international context,

Approving petty cash with approved limit Approving transfer to projects and branches expenses

Approving expenses, purchases, movement and use of property with a limit

Communication and Net working 

Major Communication and Networking Communicates internally with the Executive Director in matters related to operational management affair, plan/budget, report, and management issues, and with the Program staff and Branch Managers/Coordinators in relation to operation of projects and activities execution, budget, plan and reports issues; externally with donors, partners and collaborators in relation to report and resource management and reports; with finance related to budget utilization, budget planning and like.
