Haile-Manas Academy (HMA) is a premier private co-ed residential school, established for the education of Ethiopia’s most promising and motivated secondary students. The school provides its students a world class education and strives to help transform the education available to all Ethiopian students. HMA is located in Debre Birhan. HMA is seeking a Director of Buildings & Grounds to oversee the upkeep and maintenance of HMA’s eight hectare, 23 building campus. Under the general supervision of the Deputy Head of School, the Director of Buildings & Grounds will oversee all elements of facilities maintenance and systems (electrical, mechanical, civil, sanitary) to ensure the upkeep of the HMA campus at the highest levels of excellence and ensure a safe and comfortable/pleasant living and learning environment for a community of 500 students and staff. The Director will prepare a detailed maintenance program for all facilities; conduct regular inspections and identify repairs and upgrades as needed; oversee cost-effective procurement and inventory control; integrate campus sustainability goals into work plans; and promote a positive work culture consistent with school values. The position is open immediately.

PRINCIPAL DUTIES AND RESPONSIBILITIES 

  • Oversee the overall upkeep and maintenance of all HMA campus facilities, systems and major equipment (electrical, mechanical, sanitary, well, kitchen, generator), with an emphasis on planned, preventative care and maintenance
  • Oversee all facets of daily facilities operations, ensuring compliance with applicable regulations, safety and security expectations, and general best practices
  • Ensure proper care in the use and maintenance of equipment and supplies; promote continuous improvement of workplace safety and environmental practices.
  • Develop or assist with the development and implementation of policies and procedures to ensure appropriate and safe operation of all facilities and equipment, in accordance with manufacturer and supplier specifications
  • Develop an efficient database system for the storage of all technical and other relevant documentation and ensure that all operational documentation is readily accessible and archived as needed
  • Develop and implement systems and processes to establish and maintain records for the facilities, including records of regular preventative maintenance
  • Conduct regular inspections, identify and carry out repairs as needed
  • Identify key risks and propose corresponding mitigation measures in the management of all facilities and equipment
  • Prepare and oversee detailed yearly maintenance programs for all facilities and equipment;
  • Where needed, prepare and monitor a multi-year repair plan based on evaluations and inspections of the facilities
  • Prepare detailed facilities maintenance reports and progress reports for minor and major works as per an established timeline (monthly, quarterly etc.)
  • Prepare requests for procurement and where necessary, facilitate in the procurement of material and equipment
  • Prepare and manage annual and long-term budgets for facilities maintenance, in coordination with the Deputy Head of School and HMA Finance Director
  • Track costs against approved budgets in coordination with the Deputy Head of School and
  • Implement a system for inventory control
  • Oversee activities of contractors, vendor personnel, and suppliers; monitor contracts for compliance and control costs; review and approve invoices from 3rd party service providers; monitor general expenditures of facilities and grounds teams
  • Prepare and present regular operational reports for the review of the Deputy Head of School and Head of School
  • Develop, suggest and implement sustainability practices with respect to facilities, e.g. monitoring and reduction of utility consumption
  • Supervise buildings and grounds personnel, including but not limited to working with
  • human resources to make recommendations for recruitment, performance evaluation, training, work allocation, problem resolution and separatio
  • As a member of the Campus Resiliency Team, assist in developing emergency/disaster preparedness and recovery plans.
  • As needed, help plan functions and events on campus
  • Ensure that the interests of the school are protected at all times
  • Perform other responsibilities related to facilities management as assigned

About You

EDUCATION/EXPERIENCE

  • Bachelor’s degree in Civil, Mechanical, Electrical or Structural Engineering, or Diploma in
  • Project Management or Facilities Management
  • Working knowledge and direct experience with various systems (plumbing, electrical, mechanical, water well, septic/waste management)
  • Minimum of [5] years’ experience in multi-location facilities management, preferably in educational and/or hotel settings
  • Minimum of [3] years of experience in administrative management with evidence of developing organization policies and procedures
  • Demonstrated understanding of regulatory frameworks applicable to the safe operation of buildings, facilities, and major equipment
  • Experience managing a multi-functional team
  • Membership in relevant professional body or bodies desirable
  • Certification/training in workplace safety desirable
