Grants and Logistics Officer

 

 

Job Functions

  • Sub-grants management:
    ⚫Manage end to end sub-grant management processes including leading fixed amount awards with Gambella and Benshangul Gumez Regional Health          Bureaus from the start to the closure.
    ⚫Review financial reports and expenditures submitted by sub-grantees, ensuring proper use of funds and adherence to budgets.
    ⚫Conduct regular financial verifications and spot-checks on financial expenditures to ensure proper utilization of funds and adhere to the USAID’s requirements.
    ⚫Liaise with the sub-grantees to address spot check findings and share the final review reports to the home office.
    ⚫Provide technical assistance on USAID’s regulations and financial management to sub-grantees to enhance their capacity to manage funds and implement projects effectively.
    ⚫Track and analyze sub-grantees budget performance throughout the fiscal year, ensuring adherence to financial plans and guidelines.
    ⚫Facilitate sub-grantees value added tax (VAT) reports for USAID’s approval.
    ⚫Document sub-grantees files in hard copies and in the online system.
  • Logistics and procurement:
    ⚫Assist procurement activities.
    ⚫Update the prequalified venders list regularly.
    ⚫Support the proper and timely delivery of supplies and services to project locations.
    ⚫Manage inventory and maintain accurate records of procured materials and equipment.
    ⚫Support customs clearance activities with relevant government bodies.
    ⚫Assist in organizing and maintaining procurement files both in hard and soft copies on SharePoint.
    ⚫Update the procurement plan and database.

     

  • Finance:
    ⚫Support in the facilitation of payments for workshop participants and vendors at field and Addis Ababa levels.
    ⚫Assist in processing VAT and AP (income tax, withholding tax, and pension with relevant government bodies)

 

  • Others:
    ⚫Discharge other tasks as assigned by the supervisor.

About You

  • Education
    •  Bachelor’s or master’s degree in accounting, finance, business administration or related fields
  • Experience
    •Minimum of 4 years of work experience for BA holders; or 2 years of experience for M.A. or MBA holders in non-governmental humanitarian organizations; at least two years of the experience must be in grants and/or financial management.
    •At least one year work experience in USAID funded project(s).
  • Skills and Competencies
    •Excellent knowledge of MS Word, Outlook, Excel, PowerPoint
    •Ability to manage multi-tasks & work well with others.
    •Capability to listen and communicate well both verbally and in writing in English.
    •Demonstrated knowledge and understanding of project budgeting, monitoring, and reporting.
    •Ability to work under pressure, meet deadlines and show initiative.
    •Knowledge and experience of in QuickBooks accounting software is preferable.
    •Able and willing to travel to the Act to End Neglected Tropical Diseases Project Sites including Gambella, Benshangul Gumez, and Oromia Regions
