1. Job Purpose

The Logistics, Inventory & Fulfillment Lead (M04) ensures the effective, efficient, and compliant operation of DKT Ethiopia’s central and one regional (Addis Ababa) warehouse and distribution functions. This position guarantees optimal product availability, EFDA-compliant storage, accurate inventory management, timely order fulfilment, and high-performing logistics operations aligned with SAP systems. The role is central to safeguarding product quality, ensuring regulatory compliance, and maintaining uninterrupted supply for internal and external customers.

2. Key Roles and Responsibilities

A. Inventory Management & Fulfillment (Core Function)

  • Maintain real-time accurate inventory using FEFO, batch traceability, temperature control, and proper documentation.
  • Ensure SAP inventory accuracy through continuous reconciliation, stock adjustments, bin accuracy, and stock movement clarity.
  • Lead cycle counts, quarterly and annual physical inventory exercises, including variance analysis and corrective actions.
  • Monitor stock levels, slow-moving and expiring products, and implement proactive mitigation measures.
  • Review and validate receiving (GRN), dispatch, stock transfer (STO), sales order fulfillment, reservation, and picking in SAP.
  • Develop replenishment plans from central store to regional hubs in coordination with Sales, Procurement, and Programs Teams.
  • Oversee end-to-end order fulfillment ensuring speed, accuracy, product safety, documentation integrity, and service quality.

B. Warehouse Operations & Quality Compliance

  • Supervise warehouse manager, assistants, aides, cleaners, and operational teams.
  • Implement GDP/GWP and ensure all storage conditions (lighting, ventilation, palletization, safety, cold chain) are compliant with EFDA.
  • Ensure proper handling during receiving → binning → storage → picking → dispatching.
  • Maintain clean, well-organized, hazard-free warehousing with functional racks, pallets, signage, SOPs, and security protocols.
  • Lead warehouse layout optimization, reorganization, space planning, and safety improvements.
  • Ensure all warehouse operations are audit-ready at all times (EFDA, internal, donor audits).
  • Maintain controlled access, security seal logs, incident reports, deviations, and CAPA processes.

C. Logistics Planning & Distribution

  • Develop and execute efficient distribution schedules for transfers and product deliveries.
  • Ensure dispatching is completed with 100% documentation accuracy (Issue Notes, Delivery Notes, Invoice Attachments, EFDA Documents).
  • Coordinate Hybrid Distribution Model (in-house fleet + outsourced logistics service providers).
  • Establish KPIs for on-time delivery, order fulfillment rate, transportation lead time, and distribution cost efficiency.
  • Review route planning, fuel usage, delivery timelines, and logistical bottlenecks regularly.

D. Fleet Management & Outsourced Transport Supervision

  • Oversee full fleet operations including routing, maintenance, inspection, fuel monitoring, and daily vehicle control sheets.
  • Validate trip requests, logbooks, GPS data, and performance of drivers.
  • Manage outsourced transporters (3PLs) including contract management, service level agreements, and KPI-based performance tracking.
  • Ensure timely repair & maintenance scheduling through approved vendors.
  • Ensure driver safety, vehicle licensing, insurance, and emergency readiness.

E. Regulatory & EFDA Compliance

  • Maintain EFDA-compliant storage, record keeping, product traceability, batch documentation, and distribution documentation.
  • Collaborate with Regulatory Affairs Officer for import permits, batch releases, distribution reports, and controlled drugs management where applicable.
  • Ensure full compliance with pharmaceuticals distribution regulations.

F. SAP Systems Management & Data Reporting

  • Use SAP modules (Store-to-Ship, EWM, OTC, I2R Quality) for:
    • GRN/GRV
    • Transfer postings
    • Stock transfers
    • Picking lists
    • Sales order fulfillment
    • Inventory reconciliation
  • Generate periodic logistics dashboards:
    • Stock aging
    • Inventory accuracy
    • Fulfillment rate
    • Warehouse productivity
    • Distribution KPIs
  • Provide data-driven recommendations to management.

G. Leadership & Staff Development

  • Supervise and mentor all warehouse, fleet, and logistics staff.
  • Evaluate performance, assign KPIs, and ensure accountability.
  • Build capacity through coaching and structured skill development.
  • Foster teamwork, safety culture, and operational discipline.
About You

3. Required Qualifications and Experience

  • B. Pharm (Pharmacist) – Mandatory.
  • EFDA Technical Manager License – Mandatory.
  • Minimum 5 years of experience in pharmaceutical supply chain operations.
  • At least 2 years coordination/supervisory experience.
  • Strong practical experience in:
    • Pharmaceutical Warehousing and Distribution Management
    • Inventory Control and Reconciliation
    • FEFO, Batch tracking, Consumption analysis
    • SAP warehouse and logistics modules (P2P, S2S, EWM, O2C and FI)
  • Experience engaging 3PLs, transport vendors, and fleet systems.

4. Core Skills and Competencies

Technical Skills

  • Advanced inventory control and reconciliation skills
  • Strong logistics planning and order fulfilment management
  • Strong SAP user level experience (P2P, EWM, Store-to-Ship, OTC, I2R-Quality and FI)
  • Knowledge of EFDA regulations and GDP/GWP standards
