Position Overview

The Storekeeper is responsible for the efficient management and operation of the pharmaceutical and medical device storeroom. This includes receiving, inspecting, and storing products, maintaining accurate inventory records, ensuring compliance with storage and regulatory standards, and overseeing the distribution of products.

Duties and Responsibilities

Manage and Receive Pharmaceuticals/Medical Devices:

  • Receive pharmaceuticals/medical devices from the procurement officer, general manager, or transistor.
  • Inspect and verify the label of pharmaceuticals/medical devices, including name, strength, batch number, and expiry date according to supplier dispatch documents (packing list).
  • Inspect all deliveries for damage or discrepancies and maintain accurate records.
  • Issue two copies of the Good Received Note (GRN), one for the accountant and one for store records.

Manage Proper Product Storage:

  • Store products on clean, undamaged pallets according to product specifications.
  • Ensure refrigerated medications are placed in a cold area within 5 minutes of arrival.

Manage Inventory/Store Card:

  • Ensure adequate record keeping and manage all documentation to maintain proper stock levels.
  • Record inventory on the stock card daily, including batch number and expiration date.
  • Update inventory records for expired/obsolete items.
  • Quarantine damaged/expired/obsolete items as per SOP.
  • Conduct physical counts of the entire inventory every three months.
  • Perform a yearly closeout audit of all inventory records at the end of the fiscal year.
  • Label products in storage appropriately for easy access and distribution.

Distribution:

  • Inspect products for functionality before issuing.
  • Apply FIFO (First in First Out) or LIFO (Last in First Out) systems when issuing inventory.
  • Process “Requisition Forms” for sold items, preparing items for removal from storage.
  • Manage manpower for loading and unloading products.
  • Ensure the delivery of goods to customers as needed, ensuring temperature control for refrigerated items.
  • Manage sample products by issuing “Sample Vouchers.”

Storeroom and Refrigerator Temperature and Humidity Control:

  • Record and monitor storeroom and refrigerator temperatures daily.
  • Control and monitor relative humidity using a calibrated thermo-hygrometer.
  • Ensure thermometer calibration annually or as needed and maintain records.

Storage Cleanliness and Organization:

  • Ensure the cleanliness of the storage room according to the cleaning schedule.
  • Ensure the record daily cleaning activities and verify that cleaning standards are met.
  • Organize and restock shelves, labeling items correctly for accessibility.
  • Rotate stock and manage the disposal of surplus items appropriately.
  • Conduct periodic inspections to ensure warehouse integrity.
  • Segregate and dispose of damaged and expired products as per records.

Processing Returned Goods:

  • Handle recalls, returns, and expired products per SOP.
  • Manage returned products, issuing goods return notes and updating store records.
  • Obtain appropriate approval for returned items before issuing return notes.

Additional Responsibilities:

  • Be aware of inventory and storeroom issues and report to technical managers promptly.
  • Ensure fire suppression and alarm systems are secured and monitored.
  • Manage fire extinguisher renewal annually or as needed.
  • Participate in the selection, training, and supervision of subordinates when applicable.
  • Prepare and process necessary documents for tenders related to products and inventory.
  • Perform other duties as assigned.
  • Inspect outgoing goods to ensure they are functional and suitable for sale.
  • Review and interpret regulatory rules as they pertain to company products and processes.
  • Conduct ongoing company-wide training on EFDA (Ethiopian Food and Drug Authority) requirements.
  • Establish a disposal team that includes a licensed EFDA professional and experienced pharmaceutical warehouse personnel.
  • Prepare an annual internal audit calendar for approval by the Technical Manager and General Manager.
  • Perform self-inspections using EFDA checklists, submit final reports highlighting findings and recommendations.
  • Conduct management reviews, advise on product or process-related issues, and recommend improvements.
  • Identify potential issues and minimize regulatory risks through creative problem-solving.
About You

Qualifications:

Education and Experience:

  • Pharmacy Degree.
  • 2+ years of experience in storekeeping, inventory control, or recordkeeping.

Skills:

  • Knowledge of proper bookkeeping and inventory management.
  • Familiarity with standard concepts and best practices in a stockroom or warehouse environment.
  • Excellent written and verbal communication skills.
  • Keen attention to detail and ability to effectively manage time.
  • Skills to operate common office equipment.

Language:

  • Proficient in Amharic and English; additional languages are a plus.
