About the Job
The main purpose of the Position
Supporting the drug supply management in the designated facilities under the supervision of the Mission Pharmacy Manager of the project and according to MSF health policies and protocols, in order to contribute to the guarantee of the proper management and distribution of drugs and medical devices.
Accountabilities
- In cooperation with the Pharmacy Manager/Supervisor, assisting in the supervision, management and control of the medical stock in the project in order to avoid ruptures, losses and gross overstock of drugs and other supplies and overseeing and monitoring its storage conditions
- In cooperation with the Pharmacy Manager/Supervisor, assisting on a monthly basis with preparation and approval of order requests, ensuring they are completed in timely manner to prevent unnecessary orders in between. Following up on drug ruptures.
- In cooperation with the Pharmacy Manager/ Supervisor and other MSF team members, assisting in the supervision, management, follow up and control of medical/supply stock in the MSF office, expat houses, and MSF cars. This includes physical count, ordering and monitoring of expired dates.
- Assisting with the collection of consumption from facilities on at least a monthly basis and collecting data about number of patients. Cooperating with and assisting the Pharmacy Manager in all related monthly reports, and under the Pharmacy Manager’s supervision, communicating and providing medical data to relevant MSF team members
- Improving and following up the monitoring systems in place.
- Supporting the MoH counterparts in their responsibilities regarding monitoring of drug consumption, stock management, and preparing/receiving orders.
- Assisting in preparing and organizing training sessions for MSF staff.
- Providing programs continuity during the supervisor’s absence and handovers; sharing knowledge of the program with incoming staff in a timely, accurate, and efficient manner.
MSF Section/Context-Specific Accountabilities
Receipt of goods:
- Reception of goods from international and national orders.
- Responsible for checking of the quantity and quality of goods received.
- Use Goods Receiving Note or trip invoice/packing list when receiving goods.
- Inform the line Manager of any problems (missing, expired or damaged goods, etc.) using the standard MSF tool (SMS).
- Immediately after reception of goods, update stock cards and/or create stock cards for all stock items and Maintain stock cards per batch number of each medical item.
- Check the cold box directly on reception, and control the cold chain-monitoring tools and card and feedback to the line manager/supervisor.
Stock management:
- Set up and maintain a proper organization of the storage area according to the Pharmacy Protocol of family, storage procedures, and that all are correctly stored, well protected, fully identified, and easily accessible (cleanliness, security, access, etc.).
- Ensures that all stock movements are recorded according to MSF purchase and supply procedures including batch and Expiry of each item.
- Update and produce stock information- Monthly Medical Stock Report tool (MSR) with all relevant information including batch & expiry.
- Keep a special control of “sensitive” goods numbers of lots, expiry dates, and packaging and special storage conditions.
- In conjunction with the supervisor, perform physical stock counts in accordance with the frequency previously defined.
- Immediately inform the line manager of any problems arising in the course of the work, particularly with regard to damage, loss, attempted break-ins, or theft in the warehouse.
- Reports monthly on potential ruptures and any items that will expire.
- Responsible for monitoring the store temperature and ensuring Cold Chain items are stored at an adequate temperature.
- Prepare the medical stock report using the tool.
Sending of goods:
- Prioritise sending according to field needs and order delivery limits.
- Prepares stock requests on time. Before sending goods, ensuring good quality of packing material.
- Definition of freight according to available transport means.
- Pack (according to transport means), weigh and label freight (destination, number of shipping units, , weight and mode of transport) and assign a shipping number to each package, in accordance with the line manager’s instructions.
- Ensure good quality of cold chain according to the cold chain policy.
- Ensure correct documentation of sent goods (stock cards, waybills, packing lists.
HR management:
- Train, coach, direct, lead, and supervise medical storekeeper assistant.
Other
- Keep areas of storerooms and warehouses clean and tidy.
- Report any incidents to the supervisor (accidents, loss or damage of goods/equipment, the existence of pests/Rodents of any kind, leakage, crack, etc.)
- Ensure proper safety equipment is in place in the warehouse.
About You
- Education: Essential Qualified Diploma or above in pharmacy/ Pharmaceuticals management. With “Valid professional practicing license”.
- Experience: At Least 2 years of experience on similar or relevant Positions.
- Desirable experience with MSF/NGOs in developing countries
- Knowledge: Essential computer literacy (Outlook, word, excel, and internet)
- Excellent written and verbal communication skills
- Good computer skills: MS Word, MS Excel
- Language: Essential English level B2 and other local language
