Job Summary
The Secretary-Cashier will provide administrative and financial support to ensure the smooth operation of the ESD’s day-to-day activities at Benishangul-Gumuz – Assosa for EiE projects. This role involves managing office correspondence, organizing schedules, and maintaining accurate financial records, including handling cash transactions and receipts. The Secretary-Cashier will also assist with budget tracking, preparing financial reports, and ensuring that all financial processes comply with the organization’s policies and procedures. The ideal candidate should have strong organizational skills, attention to detail, and the ability to manage both administrative and financial tasks effectively.
Key duties and responsibilities
- Verifying all incoming invoices, vouchers, and receipts for accuracy and Completeness ;
- Preparing travel advances, maintains travel advance records, process expenses reports and reconcile advances;
- Verifying all advance documents appears for the settlements in finance department were complete, accurate and unused cash were deposited.
- Preparing all the necessary documents and ready documents to cashier to effect payment for all workshop/training conducted by the organization and then summarize the transaction and report as per the organization financial policy.
- Preparing documents necessary to tax related transaction on monthly basis
- Preparing monthly cash summary documents for managements purpose
- Ensuring all payment to and by the organization are affected in accordance with the financial guide lines of the organization;
- Providing all secretarial services to meet different due dates and work demands of the units as required;
- Maintaining the integrity and confidentiality of all ESD Head Office/ Coordination records and information at all times;
- Handling ESD Head Office/ Coordination/ Office documents and files entrusted to her/him and develops appropriate filling system;
- Preparing records and send outgoing letters with proper labels and addresses to concerned recipient and ensures that the correspondences reach the addressee;
- Facilitating receiving and delivery of postage/parcels through DHL/Post Office;
- Handling computer, printer, photocopy machine, telephone, Fax machine, scanner and duplicating machine, etc. of the office properly, which are in her/ his/ custody;
Educational Qualification and Experience
- B.A. in Secretary since/Accounting and related fields 2 years and above
- Basic computer skills
- Good report writing skills, attention to details and dead line- oriented
- NGO work experience preferable
Required Skills:
- Literacy in Computer like MS-Word, Excel and Access
- Good knowledge of Excel application skill is mandatory
- Strong communication skills.
- Administrative skill
