Management Responsibility; Responsible for overall execution of administrative and logistical activities in the office. Responsible for preparation and coordination of reports.
Communications and correspondence support: Reviews correspondences to the office, provides the relevant case history, prepares routine responses on behalf of the designated directs it to the appropriate office. Handles routine responses to correspondences and is entirely in charge of receiving and dispatching official correspondences and communication (including letters, faxes, email, telephones, etc.
Reception: Receives all visitors and acts as the first point of reference for all queries to the office.
Planning: Coordinates the designated executive’s calendar of events through communications to relevant offices both internal and external. This includes annual planning as well as ad hoc planning of activities.
Organizing: Manages the execution of events under the designated HR office including meetings, workshops, and other work-related gatherings.
Reporting: Is in charge of processing and distribution of a variety of reports including minutes and monthly work reports of the office.
Information Management: Develops and maintains relevant databases (filing systems) for optimal management of information and contacts.
Liaising: Liaises with both internal and external contacts in coordination with the Chairman/CEO’s to ensure follow-up and execution of planned activities. This includes but is not limited to MME, partners, managers and staff as may be relevant.
Budget Control: Monitors the office’s budget and support its preparation as may be needed.
Knowledge skills, attitude & attributes:
Excellent Communication Skills, Report Writing, Planning & Organizing Skills, Ability to operate modern office equipment, etc. Experience in office support services Knowledge of modern office procedures Mature, reliable, highly discreet and capable of taking initiatives. Humble, Mature, Cordial, Resourceful, Computer Literate
Job Requirements
Qualification Diploma or BA degree in Secretarial Science & Office Management
Experience: Experience in Office management: Knowledge of modern office procedure activities. It is preferable to have experience as in manufacturing company; for diploma 7 years; for degree 3 years
