About Première Urgence Internationale

Première Urgence Internationale (PUI) is a non-governmental, non-profit, non-political and non-religious international aid organization. Our teams are committed to supporting civilians’ victims of marginalization and exclusion, or hit by natural disasters, wars and economic collapses, by answering their fundamental needs. Our aim is to provide emergency relief to uprooted people in order to help them recover their dignity and regain self-sufficiency.

PUI works in 10 areas of intervention and distinguishes itself by the implementation of an integrated approach in its response. This method aims to identify and understand the needs of all those affected by a crisis. Our teams come together to bring a rapid global response to the basic needs of populations affected by humanitarian crises to help them regain independence and dignity.

PUI’s Strategy/Position in the Country:

Following the north Ethiopia conflict, which erupted in 2020, and the reports of recurrent drought, which is affecting the life and livelihood of millions in different regions of Ethiopia, PUI decided to contribute its part to address the humanitarian needs triggered by both manmade and natural disasters. For this reason, PUI has been registered with FDRE Authority for Civil Society Organization (ACSO) since June 22, 2022, to enable the organization to operate legally in the country. Since then, PUI has been doing needs assessment in different regions of the country to identify gaps to decide where to put its effort for optimum results. Following some of these assessments, PUI has decided to implement its first project in Afar region where the consequences of the recent conflict and the ongoing drought has significantly affected the population of the region.

PUI is also actively looking for more partners to respond to more humanitarian needs in other regions of the country which were affected by conflict and natural disasters.

The current projects in Afar, Amhara and Benishangul Gumuz regions are mainly focusing on creating better access to health and nutrition services for the conflict affected population. PUI is working in collaboration with local health authorities in providing support to revitalize the conflict affected health systems in those regions. In Metekel zone of BGRS, PUI is supporting Debatie health centre and its cluster health posts while in Afar, PUI is supporting Abala hospital nutrition program in Abala town of Afar region Kilbati Rasu zone and a health centre in Dallo woreda in same zone. PUI is also supporting the implementation of nutrition programs in two health centres Abala woreda and is expanding operations to include Berhale Woreda.

PUI is expanding its interventions to Amhara region where the ongoing conflict has affected provision of health services. Accordingly, the organization is opening a new project in North Wollo and East Gojjam zone of the region to respond to such needs. For this response, PUI is hiring technical team to be based in Meket and Ayna Bugna, North Wollo and Enebssie Sarmidir Esat Gojjam zone to undertake the intervention.

Overall Objective:

Under the line management of the Grants and Partnership Manager, the Grants and Communication Assistant follow up on donor deadlines related to programs, supports daily grants tasks including reports and proposals, and supports internal/external communication within the country office. The position also supports the preparation of communication and visibility materials such as success stories and newsletters, while ensuring proper documentation and filing.

Tasks and Responsibilities

Grants Support:

  • Follow up on donor and internal deadlines related to ongoing projects and ensure timely submission of reports, proposals, and other grants-related documents.
  • She/He assists in coordinating programs, MEAL, finance, logistics, and field teams to collect, compile, and consolidate inputs required for reports and proposals.
  • He/she will contribute to the data collection necessary for the preparation of the reports, in connection with the field teams concerned.
  • He/she ensures that the donor guidelines are well understood by the team in charge of preparing the proposal by preparing a summary note of the calls for proposals
  • Review and format narrative reports and donor documents to ensure consistency, quality, and compliance with donor and organizational requirements.
  • Assist in preparing donor/partners correspondence, including clarification requests, reporting feedback
  • She/He ensures that the reporting templates used for donors are following official formats
  • He/she ensures that the reports are filed with the donors, that the latest versions are archived and that they are received
  • He/she monitors funding opportunities in the country of intervention in coordination with and under the supervision of the Grants and Partnership Manager
  • Maintain and regularly update grants tracking tools, reporting schedules, and donor documentation.
  • Support the preparation of meeting minutes

Communication Support:

  • Assist in the preparation and development of communication and visibility materials, including success stories, newsletters, presentations, factsheets, donor visibility materials, and other communication products.
  • Collect and organize program updates, photos every month, achievements, and field information for communication, filling and reporting purposes.
  • Ensure communication and visibility materials are in line with donor and organizational branding and visibility guidelines.
  • He/she supports the preparation of mission presentation documents based on the mission strategy.
  • Support the dissemination of internal and external communication materials when required.
  • He/she centralizes the photos/videos of projects and feeds the photo/video library.

About You

Required Qualifications and Professional Experience

  • Bachelor’s degree in international relations, Humanitarian Studies, Development Studies, Communications, or a related field.
  • Minimum 1–3 years of experience in grants management, reporting, communication, or similar roles within a humanitarian or development context.

Required knowledge and skill

  • Attention to detail and accuracy in reporting, formatting, and documentation.
  • Ability to work in a fast-paced and complex humanitarian environment with flexibility and adaptability.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and experience with document management and filing systems.
  • Ability to analyze and synthesize information from different sources into coherent reports and communication products.
  • Ability to work independently, prioritize tasks.

Language:

  • Amharic and English
  • Any other language local/international language
