Our company is looking for an experienced Procurement logistics & admin officer. You’ll be responsible for performing cost analyses and preparing budget reports. You should possess excellent analytical skills along with the ability to combine different data and calculate profit margins. Our ideal candidate should also be able to create detailed reports that present cost-effective solutions for our company.
Duties and Responsibilities
Procurement Responsibilities:
- Overseeing and supervising employees and all activities of the purchasing department.
- Preparing plans for the purchase of equipment, services, and supplies.
- Following and enforcing the company’s procurement policies and procedures.
- Reviewing, comparing, analyzing, and approving products and services to be purchased.
- Managing inventories and maintaining accurate purchase and pricing records.
- Maintaining and updating supplier information such as qualifications, delivery times, product ranges, etc.
- Maintaining good supplier relations and negotiating contracts.
- Researching and evaluating prospective suppliers.
- Preparing budgets, cost analyses, and reports.
- Manage all documentation in the import process
- Oversee customer-based queues and plan to allocate tasks to meet requirements
- Responsible for tracking, and customs clearance of all items ordered
- Ensure materials are appropriately delivered to warehouse
- Track all progress of import of materials prior to shipment and after shipment until delivery to the company warehouse
- Work with Finance team to prepare appropriate forms for procurement and designation of project
- Work closely with vendors and the Purchasing Manager to obtain needed material with a particular attention to cost control, quality and timely delivery
- Ensure maximum availability and implementation of controls and monitoring mechanism for all logistics assets
- Oversee and monitor asset management and update asset list
- Prepare stock movement and fleet reports as well as logistics reports
Admin Responsibilities:
- Coordinate office activities and operations to secure efficiency and compliance to company policies
- Supervise administrative staff and divide responsibilities to ensure performance
- Manage phone calls and correspondence (email, letters packages etc.)
- Create and update records and databases with personnel, financial and other data
- Track stocks of office supplies and place orders when necessary
- Submit timely reports and prepare presentations/proposals as assigned
- Arrange meetings by scheduling appropriate meeting times, bookings and planning refreshments
- Draft, format and print relevant documents
- Maintain accurate records for employee holiday requests
- Assist colleagues whenever necessary

Requirements
- BA Degree in Logistics or Management or a similar field preferred.
- 2+ years of experience in both local & foreign procurement & logistics with Export and Import exposure.
- Proficiency in Microsoft Office and purchasing software.
- Strong communication and negotiation skills.
- Good analytical and strategic thinking skills.
- Supervisory and management experience.
- Attention to detail.
