Program Overview:

The five-year READ II project, funded by USAID, will boost the quality of literacy instruction and student support, reaching out to children at risk of failure and dropout caused by cognitive, emotional and physical effects of hunger, violence, and displacement. READ II seeks to better equip teachers with effective early grade reading instruction techniques and materials in seven mother-tongue languages and English, while simultaneously building a culture of reading in the school, home and community.

Position Purpose:

The Program Logistics Officer (PLO) assists the Senior Prorgam Manager and work closely with the Training and Event Coordinator to provide all logistics support to READ II training, workshop, meeting and other events. The READ II PLO will be responsible to ensure all logistics support including conference venue, refreshments, accommodation, travel, stationeries, etc. are adequately organized for smooth conduct of planned events. The PLO closely coordinates with procurement, logistics and finance officers to ensure arrangements are properly organized without fail.

S/he performs training and event related tasks needed to implement READ II planned training activities and support staff to ensure appropriate information sharing among technical, finance, operations and M&E units of the program.

Reporting & Supervision:

The Program Logistics Officer reports to the Senior Program Manager.

 Key responsibilities:

General Program support

  • Provide support in the planning and implementation of trainings, workshops, review meetings and similar events including organizing logistics and travel arrangements, preparing budgets, ensuring the delivery of invitations, facilitating advance and effecting payments:
  • Deliver all on-site activity preparation such as registration of participants, payment of per-diem and other onsite program support to finance team and other onsite activities.
  • Ensure that training and participant information is collected for each event supported by READ II project and that forms are collected in an organized and consistent manner.
  • Work with the READ II technical team, finance and operation staff to obtain timely authorization of supporting documentation needed in support of project activity logistics.
  • Ensure that all names of trained personnel are included in the system and that numbers are reported as necessary and when required.
  • Support in the management of training materials and database of, Master trainers, TOT trainers and trainees and ensure all activities related to training data, including ToTs (trainers) information, are filed and maintained correctly.
  • Follow up timely provision of various commodities, supplies and services required for the implementation of project activities.
  • Ensure adequate information on READ II Ethiopia policies & procedures with regards to payment, logistics and other facilities is provided to trainers & trainees before commencement of all trainings
  • Be responsible in contacting participants trainees and trainers for all READ II Ethiopia training and events
  • Follow-up on the printing & reprinting of READ II Ethiopia training materials
  • Facilitate all related training related evaluation forms are filled in and used in the revision process
  • Assure all files pertaining to training and training activities are stored and maintained properly
  • Maintain and update electronic data base of all READ II training materials
  • Support in managing all training related communication within and outside of the READ II Ethiopia project, i.e. with partners and stakeholders as appropriate.
  • Any other task requested by the supervisor

Job Requirements

  • BA Degree in Management, Business Administration or other Social Science related fields.
  • Minimum of four years of experience in program management support related experience or comparable position (experience in NGO work will be an advantage).
  • Experience in the planning and implementation of training and workshops including organizing logistics, preparing budgets, ensuring the preparation and delivery of invitations
  • Must have strong writing and communication skills both in Amharic and English.
  • Skills and experience in computer applications and utilization of Microsoft Office (Word, Excel and PowerPoint)
  • Excellent communication and interpersonal skills to work in a multi-disciplinary team setup; and Comfortable with a team approach to programming and the ability to manage several major activities simultaneously
  • Ability to work proactively, organize and manage own work and assist others to do the same
  • Must have demonstrable personal integrity and honesty and must have pleasant personality
