Position Purpose

The Driver is responsible for driving a Sustainable Peace vehicle to transport Sustainable Peace Activity personnel and goods. She/he takes care of the passengers, the property in his/her custody and ensures that the vehicle is insured and properly maintained. She/he also helps with supporting logistical coordination for field activities and makes cash disbursements to support field activities as required. She/he also supports the finance and administrative units in collection of receipts, transfer of payment, bank advice and other similar assignment. She/he also reports accidents immediately to the supervisor.

Key Responsibilities

The specific duties to be carried out by the successful candidate are listed below:

Transporting persons and goods

  • Drives assigned vehicles for transporting authorized personnel, delivery and collection of mail, documents, and others.
  • Log official trips as per Pact’s rules, including daily mileage, fuel consumption.
  • Ensure vehicle is insured.
  • Ensures that her/his license is renewed.
  • Performs miscellaneous errands.
  • Picks up or meets persons according to appointment request or schedule.
  • Undertakes field trips transporting staff and visitors.
  • Meets and assists staff/ visitors on arrival and departures at airports as assigned.
  • Make sure that external people assigned to be transported with Sustainable Peace vehicle for project activates sign Transport Service request form.
  • Make sure and collect the required information ahead of field trips to ensure safety and security of the journey in consultation with immediate supervisor.
  • Prepare pay sheets and make sure it is approved to make settlements of the advance.
  • Collects customer feedback after completion and delivery of services to ensure customer satisfaction and report the feedback to immediate supervisor.
  • Before departure, make sure and be aware of the objective and schedule of the field assignment to deliver effective and efficient transport service.
  • Ensure efficient movements of goods or supplies as per the objective of the program and its schedule.

Maintenance of vehicles

  • Responsible for the day-to-day maintenance of the car, checks oil, water, brakes, tires
  • Takes responsibility for the safety of the vehicle assigned tools and accessories.
  • Ensures that the vehicle is always kept clean and usable.
  • Follows up maintenance need of the vehicle and promptly reports back to immediate supervisor.
  • Makes sure that he/she drives within the speed limits set by Pact and according to traffic regulations.
  • Observes the host country’s traffic regulations.
  • Make sure to wear seat belt and always asks and make sure that his/her passengers wear seat belt.
  • Ensures that vehicle is equipped with First Aid Kit & fire extinguishers and capable of providing first aid services.
  • Make sure that the vehicle is maintained and repaired as per the request and write a satisfaction note after the maintenance service is completed.
  • Ensures validity of his/her driving license
  • Performs minor repairs and always ensures the safety of the car.
  • Assist with the logistic activities of the office.

Field Logistical Support

  • Back stops and works closely with the procurement unit to support logistical arrangement of activities.
  • Ensure that the vehicle is available and appropriately packed for all field trips.
  • Assists in loading and unloading of all logistical equipment and passenger luggage.
  • Ensures orderly arrangement and proper handling and care of all items being transported, during transport, loading and unloading.
  • Supports arranging logistical requirements for workshops in town or field as necessary.
  • Works closely with procurement and storekeeper to support purchases processes.
  • Picks up all necessary material for project activities and office operations.
  • Assist in hand lithe office effecting periderm at field workshops, meetings and, especially at field sites away from office.
  • Support video and photo documentation of various activities as required.
  • Participate in field program as part of wider team and proactively engaged in field assignments.
  • Work closely with immediate supervisor on current security updates to secure all passengers and properties from risk.
  • Follow Pact’s security policy and procedure which includes incident reports and move staff to sage place as per the guidelines.

Financial support, Cash collection and Payments

  • Works closely with finance unit and handles bank deposits, payment transfer and collection of advice in a timely manner.
  • Handle cash transfer letter and timely collection of documents.
  • Facilitate various payments as per the instruction of immediate supervisor.

Reporting

  • Report accidents timely to her/his supervisor and to nearby Police station.
  • Collect and submits police/traffic report on traffic accidents to supervisor.
  • Report any accidents using standard incident reporting format within 24 hrs to supervisor.
  • Make sure that the accidents are reported to the Insurance Company in consultation with supervisor.
  • Work closely with immediate supervisor to make sure that the insurance process is properly finalized as per the policy requirement.

Job Requirements

Basic Requirements
  • High School diploma and 4 years relevant experience or equivalent combination of education and experience.

Additional Qualifications

  • Competency in local languages and basic spoken English Ability to communicate in English.
  • Responsible, trustworthy, and reliable.
  • Keen observation abilities and alertness.
  • Good hearing and eyesight.
  • Physical fitness and willingness to work under pressure.

  • Effect payment for office utilities (Electric, Water and telephone bills etc.)
