Digital Green is an international non-government organization that empowers smallholder farmers to lift themselves out of poverty by harnessing the collective power of technology and grassroots-level partnerships. We join forces with governments, private agencies, CSOs and, most importantly, rural communities themselves to co-create digital solutions that help smallholder farmers increase productivity and income. In Ethiopia, Digital Green is working in five regions in introducing and scaling video-extension approaches, supporting farmer organizations to use their collective power for improved income opportunities, and leveraging data to provide location-specific agricultural advisories to farmers. Job Summary

Reporting to the Senior Head of Human Resources, this role is responsible for supporting in all areas of Human Resources Unit operations and managing the Front Desk of the organization.

This position, in addition to Front Desk and Human Resources duties, will assist the Country Director as an Executive Assistant providing administrative duties.  In addition, s/he will provide general office management and coordination for the Digital Green team, perform secretarial duties that include managing phone calls, mail communications and office maintenance.

Job Responsibilities

Human Resources support role

  • Assist in updating HR Information System
  • Provide supporting letters for all team members.
  • Employee Insurance benefit handling, ensure that all staff are registered and receive full insurance coverage.
  • Assist in the processes of posting job vacancy announcements, arranging interview schedules, administering written exams and assist in new employee onboarding, and employee hard copy file opening
  • Assist in employee offboarding.

Front Desk Management and Secretarial role

  • Manage incoming and outgoing calls.
  • Receive and distribute incoming and outgoing mails and letters.
  • Receive and assist guests visiting the Digital Green office
  • Keep proper documentation of correspondences (letters, faxes, etc)
  • Handle photocopy and scan requests
  • Handle organizational stamp with high responsibility
  • Manage “Digital Green Ethiopia” email account
  • Assist the Country Director and the Ethiopia Leadership Group with secretarial duties
  • Support the other team members when requested

Office Management role

  • Support the smooth running of office operations by ensuring that all office equipment (printers, copier, scanners, computers) and amenities (electricity, internet, etc.) are functioning well.
  • Coordinate with the Procurement/Logistics Officer if and when procurement and/or maintenance of the office equipment and amenities is required.
  • Ensure that office supplies are replenished timely and adequately.
  • Supervise the cleanliness of the office and office environment.
  • Handle Office equipment maintenance

Job Requirements

Qualifications and Skills

  • BA Degree in Human Resources, Office Management, management, Secretarial Science or related fields.
  • Minimum of 1-2 years of hands-on experience.
  • Experience in the NGO /non-profit sector will be preferred.
  • Tech-savvy- should be comfortable in using computers and software applications, e.g., Microsoft Suite.
  • Excellent time management skills and ability to manage multi-tasks and prioritize work
  • Have a very high level of personal and professional integrity and trustworthiness.
  • Excellent command of written and spoken English
  • Team player and has requisite social skills to build cordial relationships with colleagues and external stakeholders
  • Willingness to take on challenging tasks/ assignments beyond immediate responsibility
  • Ability and willingness to learn fast
